New-user training path
Use this four-day path to turn a new workspace into a reliable operating system. Begin with internal preparation, then expand agent permissions as your team gains confidence.
Confirm company details, timezone, roles, human team members, departments, and approved Company Brain documents.
Create Accounts, Contacts, Leads, Activities, and Tasks. Make sure every opportunity has an owner and a next action.
Review each predefined profile, select roles within your plan, customize tone, and confirm capabilities and boundaries.
Connect email and calendars, review Work Engine runs, test approvals, and check Reports and Communications.
Plans and AI agents
A business plan gives your company a number of agent seats. After payment is confirmed, open AI Agents and purchase the agent licenses your company needs. Purchased agents can be customized; they cannot be created outside a purchase or plan allocation.
Annual billing is selected by default and saves the equivalent of two monthly payments. Use the billing toggle on Pricing if you prefer monthly billing.
Using the CRM
Contacts stores the people and companies your team interacts with. Use search to find records quickly and add notes, email, phone, and company information.
Leads tracks opportunities. Create a lead, connect it to a contact, set a status, assign an agent, and record its value. Move leads through New, Qualified, Proposal, Won, or Lost.
Activities is your audit-friendly timeline. Record calls, meetings, emails, tasks, and outcomes against an agent or lead so the team has context.
Company Brain stores approved policies, FAQs, playbooks, and other knowledge. Agents use ready documents as context when answering questions or assisting work.
Departments organize agents around functions such as Sales, Support, Operations, or Finance.
Connecting company tools
Open Integrations and choose Connect Google Workspace or Connect Microsoft 365. You will authorize access in the provider’s own browser window; Worcora™ does not ask you to paste an email password.
Google Workspace connects Gmail and Google Calendar. Microsoft 365 connects Outlook and Microsoft Calendar. The Receptionist can review inbound email from either connected provider, create CRM records, and prepare replies.
To connect WhatsApp, open Integrations → Connect WhatsApp Business. Meta Business Suite must have a verified business, a WhatsApp Business number, and a system-user token with WhatsApp messaging permission. Worcora™ guides you through the three values to copy from WhatsApp Manager, then gives you the webhook address to paste into Meta. Subscribe the webhook to messages. New conversations will appear in Communications, where the Receptionist can use approved knowledge, create or update contacts and leads, and escalate specialist requests.
Only connect company accounts and communication numbers that your organization authorizes. Access tokens are stored encrypted, and agents should be given only the permissions their role needs.
Approvals and safety
Agents can prepare work without silently completing high-impact actions. Approval requests are visible under Approvals, where an authorized user can approve or reject pending actions. Use agent permissions and approvals together for refunds, payments, quotations, deletion, and other sensitive operations.
Work Engine and recurring work
The Work Engine wakes active agents on schedules and business events. Agents review the records and connected services within their role, create activities or tasks, prepare messages and recommendations, and record what they did.
Use Workflows to turn events such as a new lead, received payment, or newly created invoice into a task or activity. External communication, financial changes, deletion, and other high-impact actions remain approval-controlled.
Reports and operating review
Overview shows current workload, pipeline movement, finance indicators, agent activity, and notifications. Reports helps you review revenue, invoices, expenses, payments, leads, activities, and workload trends. Use these pages in your weekly review to find bottlenecks and decide which workflow to improve next.
Imports and data quality
Use Imports to upload CSV files for Contacts, Leads, Invoices, and Expenses. Prepare a header row, map each column to a CRM field, review validation warnings, and confirm the import. Imports support up to 5,000 rows or 10 MB. Keep dates, email addresses, statuses, and monetary values consistent before uploading.
Frequently asked questions
Can I create an agent manually?
No. Agents are provisioned through an individual purchase or a plan seat. After provisioning, you can customize their personality, permissions, configuration, department, and operating status.
How do I choose ten agents on Professional?
Purchase and complete the Professional checkout. Once active, open AI Agents and add up to ten agent types from the included seat allowance.
Why is my purchased agent not visible yet?
Stripe confirms purchases asynchronously. Check Billing for the subscription status and refresh AI Agents after the webhook has been delivered. If the status remains pending, check the Stripe webhook configuration.
Does Worcora™ replace my team?
Worcora™ is designed to remove repetitive coordination and information work. Your people remain responsible for judgment, relationships, and approval of sensitive actions.
Are the business outcomes guaranteed?
No. The homepage describes common workflows and potential operational improvements. Outcomes depend on your work volume, process quality, data, permissions, and implementation.
Do human team members use AI agent seats?
No. Human team members are unlimited and do not consume AI agent seats. Add them under Team & audit and assign the least-privileged role they need.
How do agents work automatically?
The Work Engine runs active agents on schedules and business events. Each agent checks only the records, knowledge, and connected services allowed by its predefined role, then creates work records, drafts, recommendations, or approval requests.
How do I give an agent a task?
Open AI Agents, select an active agent, and open its workspace. Describe the outcome, relevant record, deadline, and any restrictions. The agent will stay within its role and record the result in Activities or Approvals.
Why did an approval appear?
Approvals protect actions with external, financial, destructive, or material consequences. The agent prepared the action; an authorized human must review and approve it before it is executed.
How do new emails become CRM work?
After Google Workspace or Microsoft 365 is connected, Worcora™ synchronizes permitted mail and calendar data into Communications. Active agents can classify messages, match contacts, create leads or tasks, and prepare replies according to their role.
Can the Receptionist answer phone calls and WhatsApp messages?
Yes, when a supported voice or messaging provider is connected and routes inbound events into Communications. The Receptionist is scoped to answer phone, WhatsApp, and email enquiries, use approved Company Brain information, capture contacts, qualify leads, and prepare appointments. It cannot negotiate, provide specialist advice, or complete sensitive actions without approval.
Can I import existing CRM data?
Yes. Use Imports for Contacts, Leads, Invoices, and Expenses. Upload a CSV with the required columns, map the fields, resolve validation warnings, and confirm the import.
Where do I review business performance?
Overview provides the current snapshot. Reports provides trend and detail views for pipeline, revenue, invoices, expenses, payments, activities, workload, and agent operations.
How do I reset my password?
Choose Forgot your password on the login page. In local development, Worcora™ shows the reset link directly; in a configured production mail environment, it sends the link by email.
What should I do if an integration fails?
Disconnect and reconnect the provider, confirm the OAuth application has the exact callback URL shown in the setup documentation, and verify that the required scopes are approved by your organization.
